About the role

This role provides high-level executive support to the Group SVP Finance Adecco and Group SVP Procurement & Real Estate while coordinating the execution of Adecco Finance initiatives across the organization. Acting as a trusted partner to the two Leaders, the position ensures operational excellence, smooth governance, and effective delivery of priorities.

The role combines executive support, project coordination and stakeholder management. This is a high‑exposure role requiring professionalism, discretion, strong organization skills, and the ability to navigate complexity with ease.

A critical component of success in this role is the ability to manage day-to-day administrative operations with rigor and ownership—ensuring seamless scheduling, accurate expense management, and consistent follow-up on all operational matters.

What you’ll be doing

Executive Support to the Group SVP Finance Adecco (Primary Scope) and to Group SVP Procurement & Real Estate (ca. 10% allocation)

  • Manage complex and dynamic calendars, ensuring proactive prioritization, alignment with business rhythms, and effective conflict resolution.
  • Own end-to-end scheduling and coordination of internal and external meetings and appointments, ensuring all logistics, materials, and participants are aligned in advance.
  • Coordinate travel, events and senior stakeholder interactions with utmost discretion.
  • Manage expense reports, invoices, and related administrative processes with accuracy, compliance, and timeliness.
  • Prepare high-quality briefs, agendas, presentations, and pre-reads.
  • Support governance routines (LT meetings, monthly reviews, leadership connects, etc.) including documentation, minutes, and action tracking.
  • Ensure systematic follow-up on actions, decisions, and commitments, maintaining momentum and accountability.
  • Demonstrate an ahead‑of‑the‑curve mindset; anticipate needs and proactively propose solutions rather than waiting for direction.

Project Coordination

  • Coordinate the execution of global Adecco Finance initiatives, ensuring alignment of timelines, stakeholders, and deliverables.
  • Monitor the Adecco Finance budget including P&L reviews, submitting accruals, and ensuring alignment with budget.
  • Support project planning, tracking, and reporting across multiple workstreams.
  • Prepare materials and insights to support leadership discussions and decision-making.
  • Ensure consistent operational follow-up on project milestones and deliverables.
  • Maintain structured documentation and tracking of key initiatives. Continuously improve administrative processes, tools, and workflows to enhance efficiency and accuracy
  • Act as a reliability anchor for the function by ensuring operational excellence at all times.
  • Anticipate needs, identify potential issues, and proactively implement solutions

Stakeholder Management

  • Act as a central point of contact between Group SVP Finance Adecco and internal and external stakeholders.
  • Support preparation of content for Town Halls, leadership updates and strategic dialogues.
  • Ensure consistency, quality, and professionalism in all documentation and messaging.
  • Maintain well-organized documentation and communication flows.
About you
  • Bachelor’s degree preferred (e.g., Business Administration or related field)
  • Minimum 5 years’ of relevant experience in an Executive Assistant or similar high-level coordination role in an international and fast-paced environment.
  • Demonstrated experience managing end-to-end administrative responsibilities, including:
    • Complex scheduling and meeting coordination.
    • Travel logistics and event organization.
    • Expense reporting and budget tracking.
    • Day-to-day administrative follow-up and action tracking.
  • Experience in project coordination or PMO-type activities is beneficial, ideally within Finance or corporate functions.
  • Experience handling confidential and sensitive information with discretion
  • Excellent communication and writing skills.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proven ability to handle high-volume administrative responsibilities with precision (calendar, expenses, logistics, follow-up).
  • High attention to detail and strong execution discipline.
  • Proactive, solution-oriented mindset with the ability to anticipate needs.
  • Ability to operate effectively under pressure and adapt to changing priorities.
  • Strong stakeholder management and interpersonal skills.
  • High level of discretion and professionalism.
  • Advanced proficiency in PowerPoint, Excel, and digital collaboration tools.
  • Service-oriented, culturally aware, and results-driven.
