About the role

Our Akkodis brand, within The Adecco Group, is hiring a Proposal Coordinator to join our team in Ottawa. Reporting into the Director, Proposal and Corporate Knowledge Centre, the role of this individual is to source, log, order and distribute potential business opportunities that could be in keeping with Akkodis Lines of Business for multiple offices located across Canada. The successful candidate will be responsible to maintain and/or enhance the Proposal and Corporate Knowledge Centre (PCKC) Bid-Log and file share structure with current information and to ensure the inbox emails are appropriately resolved on a timely basis. What you’ll be doing

• Assisting team members with the development and production of proposals by formatting resumes for team members and preparing and updating grid shells and proposal shells to support ongoing contract needs
• Sending questions to contracting authorities seeking clarity on solicitations
• Following-up on received RFPs and submitted bids
• Updating the SalesForce pipeline with all major bid submissions ($1M+)
• Maintaining proposal supplies, as required
• Maintaining and updating corporate reference repository with new contracts/ amendments sent through the Ott-Contracts distribution list
• Maintaining documents and Excel proposal logs in OneDrive and updating process documentation
• Reviewing and responding to ATIP request for information and submitting ATIPs through the online portal, as required
• Following established procedures for engaging work in developing proposals
• Coordinating proposal development and assisting with the delivery of proposals as assigned
• Conducting Quality Assurance (QA) reviews of resource matrices/ resumes using keyword checklists and through researching technologies and/or role activities, for assigned proposals
• Contributing to the maintenance of corporate references by creating and sustaining the active and archive contract tombstone information
• Assisting in maintaining the corporate boilerplate documents, ensuring files are organized and current
• Creating first drafts of corporate content for bid submissions, as required
• Supporting the pricing repository with the initial entry of raw data
• Acting as back-up grid tool expert working with Akkodis Resource Development Managers and Productivity Innovations to resolve issues/bugs and installing new templates to the network as required

About you

We want to set you up for success! To help us do that, here is what we are looking for from you:

  • Post-Secondary Education (college or university) combined with 1-2 years of office administration, or writing/editing experience
  • Experience with Technical writing, freelance writing or editing, technical recruiting for Request for Proposals (RFP’s), account management with an RFP component are all assets
  • Experience using BuyandSell, MERX® and other tender websites used for the release of business opportunities are all assets
  • Knowledge of Canadian Federal / Provincial Government solicitations and contracts is an asset
  • Knowledge of Federal / Provincial Government or other Procurement processes is an asset
  • Excellent English communication skills both verbal and in writing is critical
  • French language skills are considered an asset to respond to French solicitations for business
  • Detail oriented, works with a sense of urgency and is adept at multi-tasking
  • Ability to work well under pressure, ability to multi-task and meet tight deadlines
  • Excellent analytical and problem-solving skills, not limited to critical thinking
  • Team player attitude and willingness to take direction
  • Builds strong working relationships
  • Advanced competency with the MS Suite of Products specifically word and excel and strong research and web navigation skills
