This role will be working for our client and will coordinate all administrative details surrounding the
recruitment process from initial communication with candidates, to facilitating their entrance into the
firm, ensuring the highest level of client service.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- At the direction of Business Professional Recruiters, coordinate all administrative aspects of then recruitment process for firmwide business professional positions, including:
o Communicating with internal and external applicants
o Conducting initial resume reviews and candidate screenings
o Scheduling interviews and coordinating applicant skills testing
o Initiating background checks and conducting reference checks - Serve as liaison with external recruiters, agencies, and candidates, acting as a centralized source
of information regarding the firm’s recruitment process to ensure consistency with policies and - Assist with candidate transition and onboarding processes, including:
o Communicating with new hires regarding next steps in the recruiter's absence
o Coordinating background checks with First Advantage
o Managing the applicant acceptance and onboarding workflows - Participate in New Hire Orientation as needed.
- Send weekly recruiting reports and updates to stakeholders, summarizing hiring progress, open
requisitions, and candidate pipeline status - Generate ad hoc reports to support data-driven decisions by recruiters and HR leadership
- Manage incoming invoices related to recruitment and temporary staffing
- Oversee the deletion of firmwide historical recruiting records in accordance with internal
documentation standards and the firm’s information governance compliance schedule - Keep recruitment-related documentation current, including:
o Editing and maintaining tip sheets, templates, and workflow guides - Manage the end-to-end process for temporary employees, including:
o Vendor relationship management
o Reviewing and submitting candidate resumes
o Coordinating onboarding - Draft job postings in collaboration with recruiters and hiring managers
- Maintain internal and external job boards
- Manage all external recruitment advertising, including:
o Drafting, submitting, and tracking job advertisements
o Reviewing and approving related invoices
o Ensuring job ads are updated and removed as positions are filled - Perform other duties as assigned
- Maintain regular attendance during scheduled work hours and as needed, in alignment with the Firm’s attendance expectations.
MINIMUM EDUCATION & EXPERIENCE REQUIREMENTS:
A bachelor’s degree in Human Resources, Business Administration, Communications, or a related field is preferred, although equivalent work experience may be considered in lieu of a degree. Candidates should have a minimum of 2–3 years of experience in recruiting, human resources, or administrative support, ideally within a professional services or corporate environment. Experience working with applicant tracking systems, vendor management, and recruiting coordination is strongly preferred.
KNOWLEDGE, SKILLS & ABILITIES:
The ideal candidate will possess exceptional customer service skills and demonstrate professional, diplomatic communication. They must be capable of handling sensitive and confidential information with discretion and have strong proficiency in Microsoft Office Suite. A keen attention to detail, excellent follow-through, and strong organizational abilities are essential. The role requires the ability to manage multiple, detail-oriented projects simultaneously, communicate effectively both in writing and verbally, and work well independently as well as collaboratively. Strong data entry skills, familiarity with applicant tracking systems, and a solid understanding of databases and basic reporting tools are also important. A proactive approach to problem-solving and process improvement is valued, and familiarity with Workday is preferred.

This position is nonexempt and will be paid on an hourly basis. The salary range below has been annualized based on a 40-hour workweek.
The anticipated annual base salary range for this position is $21.59 - $39.59. Compensation varies based on a variety of factors including, but not limited to, experience, education, key skills, and geographic location.
Benefit offerings for full-time employment include medical, dental, vision, term life and AD&D insurance, short-term and long-term disability, additional voluntary benefits, commuter benefits, wellness plans, and a 401k plan or a non-qualified deferred compensation plan. Available paid leave includes Personal Time Off (PTO) on an accrual basis up to 152 hours a year, 10 Paid Holidays, 1 Community Service Day, and up to 6 weeks of Paid Parental Leave. PTO and holiday hours are prorated based on hire date within the calendar year.
